The Administrative Coordinator will possess a robust capability to handle multiple priorities and requests for information with agility, ensuring follow-up on issues until resolution, while delivering customer-focused, quality support in a dynamic environment.
KEY RESPONSIBILITIES:
- Provide comprehensive and effective support to staff (organizing files, maintaining documents, generating reports, correspondence, etc.)
- Manage and coordinate the appointment calendar, scheduling meetings, luncheons, and other engagements
- Offer routine updates and briefs on relevant topics prior to meetings as necessary
- Arrange and confirm travel plans and accommodations
- Oversee a full range of office support services, including printing, maintenance, and supply management
- Guide visitors and callers from the campus community and the public to the appropriate offices
- Screen and respond to calls, addressing routine and procedural inquiries
- Manage incoming correspondence and route it appropriately
- Draft concise letters and memoranda as requested
- Facilitate the flow of office information and data
- Prepare presentation materials and correspondence
- Address inquiries from donors, faculty, and staff as required
- Perform additional tasks as assigned
MINIMUM QUALIFICATIONS:
- Two years of experience as an administrative assistant is required; a Bachelor's degree is preferred
- Proficiency in computer applications (e.g., Microsoft Office) is essential
KNOWLEDGE, SKILLS, AND ABILITIES:
- Understanding of executive-level administrative duties and clerical management
- Ability to process data using computer systems (database and spreadsheet formats) and generate reports
- Excellent communication (written and verbal) and interpersonal skills
- Capability to manage multiple tasks efficiently
- Proficiency in utilizing relevant automated systems and software
- Exceptional organizational and analytical skills
WORKING CONDITIONS/PHYSICAL DEMANDS:
Work is typically conducted in an office environment, requiring business professional attire. The role may involve prolonged periods of sitting or standing, and frequent walking, reaching, and lifting of up to 25 pounds.
