**Job Summary**

We are seeking a highly skilled and experienced Customer Service Representative to join our team. As a key member of our Customer Service Team, you will be responsible for ensuring that all customer needs are met in a timely and professional manner.

**Key Responsibilities**

  • Process customer orders and communicate with customers regarding order status, shortages, and price changes.
  • Send processed orders to the production floor for fulfillment and document into our internal systems.
  • Update our ERP system with all price updates received from sales and run pricing spreadsheets to ensure accurate pricing.
  • Answer and direct all incoming calls for the company and provide excellent customer service.
  • Review completed orders and process them through our internal shipping process, including printing BOLs, packing slips, and shipping labels.
  • Send invoices to customers once orders have shipped and process credit card payments according to customer terms.
  • Support the sales team with requests for samples, order status, inventory status, pricing, and other customer-related inquiries.
  • Communicate with OSC salespeople on a regular basis regarding activities within their respective accounts.
  • Enter customer complaints into our database and respond to customers regarding their complaints.
  • File all order invoice packets in designated file locations.
  • Review all orders at the end of the month and adjust ship dates as necessary.
  • Responsible for training and/or delegating training for new Customer Service Representatives.
  • Be the key contact with the CSM when they are out of the office for any inquiries or escalated situations.
  • Work on special Excel and Word projects as needed for the sales and office staff.
  • Provide additional administrative support to the upper management team.
  • Approve all attendance records for the Customer Service Team, including bi-weekly timecards and time off requests.
  • Work with the internal team and attend new product meetings.
  • Attend internal scheduling meetings to ensure all customer orders are being processed correctly.
  • Attend weekly manager meetings and report out month-to-date numbers and any challenges for the team.
  • Support the Account Manager when they are out of the office to ensure our key customers' needs are still being met.
  • Adhere to Oregon Spice Company's Food Safety and Quality Fundamentals.
  • Perform other duties as assigned or needed.
