Job Summary

This role is responsible for providing support for all leave of absence cases, working closely with operational, Risk Management, and Human Resource teams. You'll be the primary point of contact for employees, managers, and HR, ensuring seamless communication and coordination throughout the leave process.

Key Responsibilities
  • Provide guidance on state and city family and medical leave laws, ensuring compliance and accuracy.
  • Track and administer leave history for the past 12 months, maintaining accurate records and reports.
  • Notify employees of FMLA and state leave policies, ensuring they understand their rights and responsibilities.
  • Verify eligibility requirements, facilitate certification processes, and send initial paperwork to employees.
  • Send correspondence for approvals and denials to employees, maintaining clear and concise communication.
  • Track and record all employee requests and individual leaves in a secure manner, ensuring confidentiality and data protection.
  • Provide notification to managers on leave approvals and return-to-work dates, ensuring a smooth transition.
  • Coordinate complex cases that combine multiple benefit areas, requiring strong analytical and problem-solving skills.
  • Provide program utilization reports detailing employees on leave, frequency of leave, and qualifying events, helping to inform business decisions.
  • Coordinate with STD/LTD vendors for employer statements and leave notifications, ensuring timely and accurate communication.
  • Verify employee leave status in benefits administration systems, ensuring accuracy and compliance.
  • Submit benefits administration system changes and pay authorizations (vacation, sick, etc.) to payroll, maintaining seamless operations.
  • Report auditing: benefits administration system leave status and STD/LTD claim status, ensuring compliance and accuracy.
  • Educate and counsel employees on all aspects of leave of absence, providing clear guidance and support.
  • Partner closely with the Human Resources Director on all related accommodation and/or leave cases/claims, meeting regularly to review status and progress.
  • Educate and counsel managers and HR on leave-related policies and procedures, conducting training as needed to ensure compliance and understanding.
  • Leave File Management: gather claims data provided by vendors and HR managers, sending reports to HR for review and analysis.
Requirements
  • Bachelor's degree with 7-10 years of experience in Human Resources, 4-5 years in leave management preferred.
  • CLMS Certification preferred.

Physical Requirements/Working Conditions
