Patient Experience Specialist - Union Hospital Therapy, LLC

We are seeking a motivated and service-oriented Patient Experience Specialist to become part of our dedicated team. This role will primarily manage front office operations within our patient care environments. This is a full-time, in-office role with a weekday, day shift schedule. While prior experience is beneficial, it is not a requirement. This position offers a fantastic opportunity to enhance your skills and gain valuable experience in the healthcare sector. Key Responsibilities:
  • Managing appointment scheduling, including follow-ups for patients who missed appointments, and proactively rescheduling as necessary.
  • Registering patients (check-in/out) and ensuring that all information is accurate and complete.
  • Coordinating with patients and referring physicians to secure necessary referrals.
    • Documenting referrals in the appropriate logs as directed.
    • Scheduling initial evaluations and follow-up visits to optimize treatment plans.
  • Verifying patient insurance details in advance to ensure prior authorizations are obtained from payors.
  • Providing patients with clear information regarding their coverage and payment responsibilities related to therapy services.
  • Ensuring patients understand and sign necessary documentation for services that may not be covered by insurance.
  • Collecting payments due prior to each visit, which may include co-payments, deductibles, and other charges.
    • This includes managing co-payments, deductibles, co-insurance, and payments on statements.
  • Handling incoming calls in a professional and consistent manner, with a focus on detail.
    • Taking messages or directing calls to voicemail when appropriate personnel are unavailable.
  • Performing additional duties related to clinic operations as assigned by the Site Coordinator, Revenue Cycle Department, or Patient Experience Coordinator.

Ideal Candidate Profile:
  • Possesses a high school diploma or GED.
  • Has at least one year of relevant experience and/or training.
    • Prior experience in a medical office is preferred but not mandatory.
  • Can stand, walk, and sit throughout the entire assigned shift.
  • Exhibits a high level of professionalism in both written and verbal communication.
  • Demonstrates strong computer skills, including proficiency in databases and Microsoft Office applications such as Outlook, Word, PowerPoint, and Excel.
  • Can work independently and collaboratively in a team environment without constant supervision.
  • Maintains confidentiality at all times.
  • Is adaptable, eager to learn, and capable of multitasking in a fast-paced environment.
