Job Description

We are seeking a highly skilled Contracts Specialist to join our team at Madison Approach. This is a Temp-to-Permanent opportunity with a competitive hourly rate of $29-36 and a salary range of $61-75K DOE.

Key Responsibilities:
  • Coordinate with Marketing and other department staff to ensure seamless commercial and contractual administration for existing projects.
  • Prepare and send invoices to customers for contract payment milestones.
  • Administer spare parts and special tools delivery, including intra-company coordination, supplier coordination, and shipping arrangements.
  • Manage customer-supplied parts delivery and return of non-conforming materials, including intra-company coordination, supplier coordination, and shipping arrangements.
  • Monitor inter-departmental material control and management processes to ensure timely delivery of rail cars, spare parts, and special tools to customers.
  • Prepare contractual change order documentations and proposals for negotiations with customers.
  • Collaborate with contract managers and supervisors on commercial issues and tasks.
  • Assist in preparing and publishing monthly, quarterly, and annual project reports to Company Executives and customers.
  • Support the Marketing and Business Development departments in preparing proposals for Request for Proposals (RFPs).
  • Conduct market research and data review, and prepare reports and presentations.
  • Represent the company at trade shows, conferences, forums, and symposiums.
  • Work with contract managers and supervisors to prepare DBE, MBE, WBE reports for federal, state, and local authorities.
Qualifications:
  • Bachelor's degree in Marketing or Business Management (Associates degree with relevant experience considered).
  • Previous experience in contract administration and/or project management preferred.
  • Strong organizational and time management skills to meet project deadlines.
  • Excellent Microsoft Excel, Word, and PowerPoint skills.
  • Ability to review cost and financial information to prepare spreadsheets and reports.
  • Self-motivated, problem-solving skills, and strong communication skills.
