POSITION SUMMARY: Under the guidance of management, the role is focused on welcoming patients and assessing the purpose of their visit. This position encompasses responsibilities related to the check-in procedure, including confirming eligibility and benefits for various insurance plans, generating necessary referral documentation, and performing data entry tasks. The individual will also address patient inquiries and facilitate the check-out process, which includes scheduling follow-up appointments and procedures conducted within the facility.

PHYSICAL AND MENTAL DEMANDS: The role requires prolonged periods of standing, sitting, and using a computer. The ability to manage stress associated with a technical work environment, patient care, and urgent situations is essential.

WORK ENVIRONMENT: This position operates in a fast-paced setting with a high volume of patient traffic for check-in and check-out. Overtime may be required, and the role involves rotation among front desk, phone, and filing responsibilities. Flexibility to travel to various office locations is necessary.

KEY RESPONSIBILITIES:

  • Greet all patients upon arrival and ascertain the purpose of their visit.
  • Provide new patients with the necessary forms to create a medical record.
  • Review documentation to ensure all required fields and signatures are completed.
  • Input new patient insurance details into the Ntierprise system.
  • Verify and scan patient identification and insurance cards, updating records as needed.
  • Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
  • Respond to phone inquiries from primary care physicians regarding patient referrals.
  • Update patient records for all referrals received through various channels.
  • Collect payments for office visits and outstanding balances, providing receipts and posting transactions in the Ntierprise system.
  • Balance monetary transactions on a daily basis.
  • Schedule follow-up appointments and procedures as needed.
  • Prepare appointment reminder cards for patients.
  • Facilitate physician callbacks and patient follow-ups.
  • Perform various clerical tasks, including completing forms for hospital testing and rescheduling appointments.
  • Assist with filing and telephone duties when time permits.
  • Maintain confidentiality of patient records and demonstrate accountability for personal development in required skills.
  • Assist with office housekeeping duties as necessary.
  • Commit to the vision, mission, and goals of the Michigan Institute of Urology through Continuous Quality Improvement initiatives.

QUALIFICATIONS:

EDUCATION: High school diploma or GED required.

EXPERIENCE: At least one year of experience in a professional office environment is preferred, with a focus on customer service.

SKILLS: Proficient clerical skills, basic computer knowledge, and a typing speed of 30 words per minute. Strong communication and interpersonal skills are essential, along with self-motivation and organizational abilities. A commitment to excellent customer service is crucial.
