POSITION SUMMARY

This role is integral to the Finance team, assisting in daily financial operations. Responsibilities include processing various forms of deposits, managing purchase orders, ensuring compliance with financial policies, and supporting the month-end financial closing activities.

KEY RESPONSIBILITIES

Essential functions include, but are not limited to:

  • Preparing check and cash receipts for bank deposits, along with corresponding entries for the general ledger.
  • Compiling weekly and monthly credit card sales entries for the general ledger and reconciling these with bank deposits.
  • Assisting in accounts receivable tasks, including invoice entries and payment applications.
  • Reviewing and issuing purchase orders under the guidance of the Compliance Director, ensuring adherence to organizational policies.
  • Verifying employee expense reports in line with established guidelines.
  • Cross-training to provide backup for the Accounting Coordinator, covering accounts payable and cash disbursement functions.
  • Tracking insurance purchases and communicating necessary changes for policy updates.
  • Monthly reconciliation of balance sheet accounts, addressing any discrepancies or aging items, and liaising with department heads as needed.
  • Proposing recurring journal entries and participating in the financial month-end closing process.
  • Providing general support to Finance Department management as required.
  • Responding to and resolving complex inquiries and complaints.
  • Monitoring program performance outcomes to assess success and impact.
  • Working additional hours during peak events, performing various duties as required.

ADDITIONAL FUNCTIONS

  • Support the mission of the State Fair of Texas.
  • Perform related duties as assigned.
  • Adhere to all internal, state, and federal regulations.
  • Complete required training as directed by management.

QUALIFICATIONS

Knowledge Required:

  • Proficiency in Microsoft Office, particularly advanced Excel functionalities.
  • Familiarity with accounting software and databases.
  • Understanding of accounting principles and nonprofit best practices.
  • Knowledge of relevant federal, state, and local laws and regulations.
  • Ability to develop and implement goals and management plans.

Skills Required:

  • Accurate recording and balancing of accounting transactions.
  • Ability to create operational spreadsheets for accounting processes.
  • Maintain confidentiality and accountability in the workplace.
  • Effective communication with vendors and internal personnel.
  • Strong organizational skills with attention to detail and the ability to manage multiple projects.

EDUCATION AND EXPERIENCE

Any combination of experience that would likely provide the required knowledge is qualifying. A typical way to obtain the knowledge and abilities would be:

Preferred Education and Experience:

  • Bachelor's degree in accounting, business administration, or a related field.
  • One to three years of experience in financial management or accounting, preferably in a related industry.

LICENSE OR CERTIFICATE:

  • Possession of, or ability to obtain, an appropriate Texas driver's license.

SUPERVISION:

  • Reports to the Accounting Manager.
  • May receive direction from the Compliance Director.
  • Ability to work independently with minimal supervision.

WORKING CONDITIONS

Environmental Conditions:

  • Office environment with exposure to computer screens.
  • Outdoor work in various weather conditions, particularly during events.

Physical Requirements:

  • Ability to remain stationary for extended periods.
  • Capable of moving short and long distances for various tasks.
  • Occasional lifting of objects up to 25 pounds unassisted.
