Key Responsibilities:

The Administrative Assistant will play a vital role in enhancing employee engagement and recognition initiatives, coordinating projects, and ensuring timely completion of assignments. Additional responsibilities include:

  • Managing internal communications and scheduling
  • Maintaining metrics and reporting
  • Overseeing timekeeping and other administrative tasks

This role requires a high level of professionalism in communication across all organizational levels, as well as the ability to handle confidential information with discretion. Strong analytical skills for report preparation and effective problem-solving abilities are essential.

Human Resources Responsibilities:

  • Assisting with new employee orientation and training logistics
  • Maintaining employee personnel records
  • Operating HR technical systems
  • Facilitating employee recognition programs
  • Managing training documentation
  • Establishing an electronic filing system
  • Responding to inquiries for information
  • Coordinating travel arrangements and expense reporting
  • Acting as a liaison with community organizations

General Administrative Tasks:

  • Serving as an ambassador for Koozie Group by delivering exceptional customer service
  • Coordinating visitor management and tours
  • Organizing employee engagement events
  • Acting as a liaison between departments and external stakeholders
  • Inputting data into the manufacturing database
  • Creating and enhancing reports
  • Supporting continuous improvement and training initiatives
  • Providing backup support for maintenance administration
  • Performing other assigned duties as needed

Qualifications:

  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
  • Experience with Excel reporting is required
  • Strong written and verbal communication skills
  • Demonstrated professionalism and confidentiality in handling sensitive information
  • Able to thrive in a production environment
  • Self-motivated, organized, and detail-oriented
  • Experience in a manufacturing setting is preferred
  • Knowledge of EBS / Oracle systems is a plus
