Summary:
Provide administrative assistance to the Program Director.

Ensure adherence to Archsa's internal policies, state regulations, and program standards concerning documentation and filing for each resident.

Perform data entry, manage filing systems, schedule appointments, and execute word processing tasks as directed by the Program Director. Work under the direct supervision of the Program Director while collaborating closely with program staff.

Position Responsibilities:
1. Assist in completing and submitting daily census reports.
2. Manage quarterly reporting (client counts, etc.).
3. Track UAC Portal deadlines and input client information.
4. Monitor program financial receipts and related documentation as assigned.
5. Organize assignments and due dates for the Program Director.
6. Oversee, track, and analyze all internal metrics and reporting tools; communicate results to the Program Director.
7. Prepare various reports for oversight agencies as requested.
8. Track notifications, service plans, and extension letters while collecting necessary documentation.
9. Assist in preparing for and attending bi-weekly staffing meetings, recording minutes, and disseminating information to staff via email.
10. Research community resources for classes, activities, and collaboration opportunities that would benefit clients.
11. Perform other duties as assigned by the Director, Senior Director, or Vice President.

Minimum Qualifications:

Education:
High School Diploma or Equivalent; associate or bachelor's degree preferred.

Experience:
At least 1 year of experience in an administrative support role preferred.

License and Credentials:
Reliable transportation, valid driver’s license, and vehicle insurance required.
Must provide immunization records.
Undergo state and federal background checks, child abuse and neglect registry checks, and tuberculosis screening.

Must be physically, mentally, and emotionally capable of performing assigned tasks and possess the necessary skills to fulfill essential duties and responsibilities.

Proof of immunity to vaccine-preventable diseases transmitted by respiratory routes is required if working directly with unaccompanied children.


Minimum Knowledge and Skills:
Proficiency in computer software and MS Office (i.e., MS Word, Excel, Outlook, and OneDrive);
Ability to apply basic mathematical concepts including addition, subtraction, division, and multiplication.
Capability to calculate statistics.
Detail-oriented, organized, self-motivated, and able to work independently as well as part of a team.
Strong written and verbal communication skills.

Bilingual:
Fluency in English and Spanish, including reading, writing, speaking, and comprehension.

Travel Requirements:
Travel for this position includes 10% local and 10% overnight.

Physical Requirements:
