As a full-time, non-exempt Administrative Executive Assistant at LA Health Solutions, you will serve as the primary point of contact for our partners, visitors, and staff.

Your role is essential in establishing a positive and welcoming atmosphere, making a significant impact on the first impression of our organization. This position encompasses more than standard receptionist duties, emphasizing the provision of executive-level assistance to our administrative team.

We are looking for a proactive individual who recognizes the value of a positive, courteous, and professional demeanor in the workplace.

The ideal candidate will demonstrate a strong work ethic, exceptional organizational skills, and the ability to thrive in the fast-paced and ever-changing healthcare environment.

Key Responsibilities:

Reception Management:
  • Welcome and assist visitors with a friendly and professional attitude.
  • Manage and direct incoming calls, ensuring accurate and timely routing.
  • Keep the reception area organized and presentable.

Executive Assistance:
  • Provide administrative support to members of the Executive Team as required.
  • Coordinate conference room schedules and executive calendars to facilitate meetings.
  • Draft and distribute correspondence on behalf of executives.

Communication:
  • Address inquiries and provide accurate information promptly.
  • Communicate effectively with internal teams, external partners, and patients.
  • Exhibit excellent written and verbal communication skills.

Administrative Duties:
  • Oversee office supplies and coordinate maintenance of office equipment.
  • Assist the administrative team with various tasks, including data entry, document preparation, and filing.
  • Proactively offer assistance during downtime.
5.
Technical Skills:
  • Utilize modern office technology and communication tools.
  • Maintain proficiency in software applications relevant to receptionist and administrative functions.
Qualifications:
  • High school diploma or equivalent; some college experience preferred.
  • Two or more years of experience in office administration or related fields preferred.
  • Proficiency in Microsoft Office Suite is advantageous.
  • Exceptional organizational and multitasking abilities are essential.
  • Strong interpersonal and communication skills are required.
  • Ability to manage confidential information with discretion is crucial.
