Job Summary:

This role is responsible for providing exceptional customer service and administrative support to our team. The ideal candidate will have excellent communication skills, be able to multitask, and have a strong attention to detail.

Key Responsibilities:
  • Relay incoming, outgoing, and intra-system calls through a PBX system
  • Record and transmit messages
  • Keep records of calls placed
  • Provide information to callers and visitors
  • Hear and resolve complaints and make appointments
  • Handle incoming and outgoing mail
  • Control access to the facility
  • Keep a log of visitors and issue visitor passes
  • Perform routine clerical work, such as entering data and processing documents
  • Make announcements/pages over the intercom system
  • Contact appropriate individuals for emergencies and building maintenance
  • Schedule meetings and maintain a calendar of scheduled meetings
  • Ensure set-up requests are submitted and forwarded to the appropriate section
  • Post daily meetings on the conference room scheduling board
  • Provide facsimile transmitting, receiving, and distribution services
  • Maintain the DSW telephone listings and employee distribution lists
Requirements:
  • Proven administrative or assistant experience
  • Knowledge of office management systems and procedures
  • Time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Proficient in MS Office Suites and Adobe programs
