Position Overview

Under the supervision of the Director of Academic Administration and Finance, the Inventory Control Supervisor is tasked with overseeing the organization and management of the departmental stockroom, ensuring the effective distribution of supplies and equipment for the Department of Biological Sciences.

The Department of Biological Sciences at Columbia University boasts a distinguished legacy of groundbreaking research and education, significantly impacting areas such as genetics, molecular biology, and neuroscience. It continues to push the boundaries of scientific inquiry through innovative research and a commitment to excellence in biological sciences.

Key Responsibilities

Operational Management

  • Oversees daily stockroom operations, managing shipping and receiving, pricing, restocking, customer relations, inventory oversight, and contract purchase order processing.
  • Coordinates stockroom activities with the Business Office and various research and instructional laboratories.

Project Management

  • Leads the construction process for capital projects, ensuring successful project execution.
  • Supervises subcontractors, ensuring compliance with contractual obligations and safety regulations.
  • Collaborates with the Director of Research and Technical Services to coordinate equipment delivery for shared service spaces and newly renovated laboratories.

Financial Oversight

  • Reviews and approves invoices and requisitions in the financial tool, ARC, for expenditures up to $15,000, ensuring accurate billing and budget compliance.
  • Completes competitive pricing documentation for requisitions.
  • Assists the Purchasing Agent in resolving issues with Central Purchasing to facilitate requisition approvals.
  • As a Super Buyer, manages a P-Card with a $150,000 monthly limit.
  • Reconciles purchase orders, ensuring charges are properly allocated to the correct funding sources.

Procurement Management

  • Directs shipments for the Schapiro Center for Engineering and Physical Science Research (CEPSR) to their designated locations.
  • Prepares the annual stockroom inventory report for the Controller's Office.
  • Maintains a database program (ITWorks) for stockroom inventory and billing activities, providing essential financial data for departmental budget planning and analysis.
  • Creates accounts for new customers and updates pricing and inventory data as necessary.
  • Collaborates with vendors to enhance the ITWorks program and troubleshoot functionality issues.
  • Exercises independent judgment in vendor selection, contract negotiations, and determining supply quantities based on inventory requirements.

Chemical Management

  • Utilizes the Chem Tracker Program to monitor all hazardous chemicals.
  • Works closely with the Office of Environmental Health & Safety (EHS) to ensure compliance with health and safety regulations.
  • Provides updated contact information for chemical tracking staff as needed.
  • In collaboration with EHS, ensures the secure storage, maintenance, and handling of hazardous materials.
  • Guarantees adherence to federal, state, and city environmental regulations while maintaining laboratory inventory, including chemicals, enzymes, plasticware, and other research supplies.
  • Performs additional duties as assigned.

Minimum Qualifications

  • Bachelor's Degree and/or four years of relevant experience, including two years of related experience.

Preferred Qualifications

  • Familiarity with university policies and regulations regarding hazardous materials.
  • Knowledge of federal, state, and city health and safety regulations.
