Payroll Specialist Job Description

Vaco is seeking a highly skilled and detail-oriented Payroll Specialist to join our dynamic team. The Payroll Specialist will be responsible for ensuring the accurate and timely processing of payroll for our employees. This role requires a thorough understanding of payroll processes, tax regulations, and exceptional organizational skills.

Key Responsibilities:
  • Payroll Processing:
    • Accurately process bi-weekly, semi-monthly, and monthly payrolls.
    • Handle off-cycle payrolls as needed.
    • Process payroll for new hires, terminations, and payroll adjustments.
    • Calculate and distribute bonuses, commissions, and other special payments.
  • Data Management:
    • Maintain and update employee payroll records.
    • Ensure accurate entry of working hours and wage calculations.
    • Review and resolve timecard exceptions and discrepancies.
  • Compliance and Reporting:
    • Ensure compliance with all federal, state, and local payroll regulations.
    • Track and deduct garnishments, tax levies, and other special payroll deductions.
    • Prepare payroll reports and summaries for management.
    • Assist in responding to government agency requests with relevant data.
  • Employee Support:
    • Address and resolve payroll-related queries and concerns from employees.
    • Provide guidance on PTO requests and other payroll policies.
  • Audits and Improvements:
    • Conduct regular audits to ensure payroll accuracy and integrity.
    • Assist in developing and implementing payroll processes and procedures.
Requirements:
  • Experience: Minimum of 2 years of payroll processing experience.
  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Technical Skills: Proficiency with payroll software (e.g., ADP, Paychex) and Microsoft Office Suite, particularly Excel.
  • Knowledge: Understanding of payroll practices, tax regulations, and wage and hour laws.
  • Skills:
    • Strong attention to detail and accuracy.
    • Excellent organizational and time management skills.
    • Superior communication skills, both verbal and written.
    • Ability to handle sensitive and confidential information with discretion.

Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
