Job Summary

We are seeking a highly organized and customer-focused Receptionist to join our team at Ultra Cryo & Recovery. As the first point of contact for clients, you will be responsible for ensuring a warm and welcoming experience. Your duties will include managing daily front desk operations, handling client inquiries, scheduling appointments, and supporting the team in delivering high-quality cryotherapy services.

Responsibilities
  • Greet and welcome clients as they arrive at the office.
  • Answer phone calls, respond to emails, and manage inquiries in a professional manner.
  • Ensure a high level of client satisfaction by addressing questions and concerns promptly.
  • Schedule and confirm client appointments using Thryv booking software.
  • Manage rescheduling and cancellations in line with company policies.
  • Maintain up-to-date client records and update their files with relevant information as needed.
  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  • Process client payments, handle cash, and ensure transactions are accurately recorded.
  • Assist in promoting Ultra Cryo services and upselling packages where appropriate.
  • Assist the team with various administrative tasks, such as client file management, data entry, and reporting.
  • Ensure accurate tracking of appointments, packages, and client preferences.
  • Help with the coordination of special events, promotions, and VIP experiences.
Requirements
  • High school diploma or equivalent required; an associate degree is a plus.
  • Previous experience in a receptionist, customer service, or administrative role is preferred.
  • Proficiency in scheduling and client management software (Thryv experience is a plus).
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • A positive, professional demeanor with a passion for customer service.
  • Ability to work flexible hours, including weekends, to meet business needs.
