Role Summary:

The Human Resources Assistant plays a vital role in supporting the HR department and its initiatives. This position involves close collaboration with employees, managers, and executives to enhance the effectiveness of the organization. The HR team is recognized for delivering impactful programs and services that support over 400 employees across various career stages and technical expertise. The team is dedicated to attracting, retaining, and developing a highly engaged workforce, contributing to the agency's strategic goals through initiatives like workforce planning and performance management.

Key Responsibilities:

  • Accurately input and maintain employee data in the HRIS system; ensure proper filing of hard-copy documents and maintenance of personnel files.
  • Assist in updating salary information and other changes in relevant databases.
  • Support employment status modifications, including transfers and separations, by preparing necessary documentation.
  • Provide administrative assistance to the Recruitment Team in managing a full-cycle recruitment process and utilizing the agency's applicant tracking systems.
  • Coordinate orientation and onboarding activities for new hires, collaborating with IT and Facilities as needed.
  • Deliver professional customer service by addressing general HR-related inquiries from employees.
  • Maintain the organization of HR storage and filing areas.
  • Perform various administrative tasks, including processing invoices and supporting special projects aimed at improving HR processes.

Qualifications:

  • A bachelor's degree in human resource management, business administration, or a related field; relevant education and experience may be considered.
  • At least one year of administrative support experience, preferably in a busy program area, with familiarity in HR or Payroll practices.
  • Proven ability to accurately enter high volumes of data with strong attention to detail and organizational skills.
  • Capability to manage multiple time-sensitive recruitment and onboarding activities while effectively responding to inquiries.
  • Proficiency in Microsoft Outlook, Word, and Excel for business and administrative tasks.
  • Strong customer service skills with excellent verbal and written communication abilities.
  • Understanding of confidentiality and diplomacy when handling sensitive personnel information.
  • Successful completion of a pre-employment background check and credit investigation is required.
