Order Management Specialist

Position Summary:
The Order Management Specialist is responsible for the meticulous editing, analysis, and interpretation of incoming sales orders across a diverse range of company offerings. This role involves clarifying any ambiguous terminology and rectifying incomplete or incorrect information. The specialist will also revise orders to facilitate timely processing and will communicate with order sources to resolve discrepancies.
Key Responsibilities:
- Confirming order receipt and processing.
- Inputting orders into the system accurately.
- Reviewing customer contracts for compliance.
- Maintaining and reconciling online order portals.
Additional Duties:
- Support Customer Service Representatives in fulfilling customer inquiries.
- Assist clients in placing orders via phone or fax, entering details directly into the ERP system.
- Manage customer data files effectively.
- Prepare correspondence, quotes, and reports as needed.
- Scan and review Purchase Order documents while ensuring contract compliance.
- Proactively inform customers about order processing delays and request changes to delivery schedules.
- Conduct data entry and perform analysis on various data formats.
- Maintain comprehensive documentation of procedures, forms, and reports.
- Execute Purchase Order entries and modifications in collaboration with relevant departments.
- Compile data for premium or cancellation charges for Customer Service Representatives.
- Process Return Merchandise Authorization (RMA) documentation.
- Exhibit a positive attitude in customer interactions.
- Analyze data, interpret results using statistical methods, and provide ongoing reporting.
- Develop and implement databases and data collection systems to enhance statistical efficiency and quality.
- Source data from primary and secondary sources, maintaining databases and data systems.
- Identify and analyze trends or patterns in complex datasets.
- Review and clean data by examining reports and performance indicators to resolve coding issues.
- Collaborate with management to prioritize business and information needs.
- Identify and propose new process improvement opportunities.
- Prepare various documents from handwritten notes or verbal instructions.
- Compile data from multiple sources to create summary reports, including necessary calculations.
- Maintain organized files and retrieve information as directed.
- Implement a follow-up system for reports requiring periodic action.
- Utilize standard office equipment effectively.
- Respond to inquiries from the public and other organizations when information is readily available.
- Perform other assigned duties as necessary.

Qualifications:
- High school diploma or equivalent is required.
- A minimum of 5 years of experience in Customer Service is essential.
- Proficient in keyboarding and adept at navigating Windows software applications.
- Must maintain a professional demeanor with customers, exhibiting excellent communication skills, both written and verbal.
- Strong organizational skills and sound telephone etiquette are necessary.
- Proven experience as a data analyst or business data analyst is required.
- Exceptional analytical skills with the ability to collect, organize, and analyze significant amounts of information accurately.
- Skilled in query writing, report generation, and presenting findings effectively.
