Position Overview

Under general supervision, the Financial Grants Specialist will play a crucial role in supporting the financial operations of the Finance Department. This position involves meticulous accounting tasks related to the classification, posting, balancing, reconciling, and summarizing of financial transactions associated with various grants from federal, state, local, foundation, and private sources. Responsibilities may vary based on the specific needs of the Finance Department and workload distribution. This role reports directly to the Controller or Senior Accounting Manager.

Key Responsibilities
  • Maintain a comprehensive financial accounting system, ensuring compliance with Generally Accepted Accounting Principles (GAAP) and Government Accounting Standards Board (GASB).
  • Assist in pre-award budget development and post-award budget revision reporting for grants in collaboration with Business Development, Program Managers, and senior staff.
  • Ensure budgetary control and compliance with federal, state, local, sponsor, and other regulatory requirements post-award.
  • Oversee invoicing and reconciliation processes related to funding drawdowns from external agencies.
  • Monitor grant activities post-award, including cost overruns and unallowable expenses.
  • Maintain up-to-date knowledge of OMB circulars and other relevant regulatory publications.
  • Prepare and reconcile monthly and quarterly financial reports in accordance with accepted accounting practices.
  • Code invoices, reconcile accounts, and manage monthly closing procedures.
  • Compile and maintain reimbursement expenditure reports for grants, ensuring accuracy with funds received.
  • Keep an organized record of current and pending grants from various sources.
  • Participate in monthly review meetings with Program Managers and financial staff.
  • Support the Controller and finance team in financial monitoring and reporting tasks.
  • Assist in the preparation of annual audit reports and provide necessary documentation to auditors.
  • Communicate effectively with program managers and staff to provide essential financial information and support.
  • Stay informed about internal control requirements and cross-train on other finance functions as needed.
  • Adapt to new tasks as the Finance Department's needs evolve.
  • Prepare journal entries and conduct account reconciliations during monthly closing processes.
  • Perform additional duties as assigned, including project and committee work.

Qualifications
  • Bachelor's degree in finance, accounting, or a related field, along with a minimum of 2 years of relevant experience.
  • Strong understanding of financial and grant accounting principles and practices.
  • Proficiency in Excel and accounting software, as well as other relevant computer applications.
  • Able to manage multiple projects while anticipating the information needs of management.
  • Excellent written and verbal communication skills, coupled with strong interpersonal, problem-solving, and organizational abilities.
  • Detail-oriented with a high level of accuracy and a strong work ethic.
  • Commitment to teamwork and accountability in fulfilling job responsibilities.
