Compensation: Based on experience, ranging from $24.00 to $26.00 per hour.

General Summary:

The Exhibitor Services Coordinator ensures that exhibitor service requests are accurately processed and efficiently distributed for the installation and delivery of essential services such as electrical, telecommunications, and water/gas/drains to exhibitors and clients. This role involves a blend of routine clerical and administrative tasks, as well as staffing the Exhibitor Services desk during event move-ins.

Primary Duties and Responsibilities:

  • Compose letters, notices, forms, and reports; perform calculations and duplicate individual client orders.
  • Process credit card transactions, issue receipts, and enter customer utility orders into the POS system. Organize and file correspondence and forms submitted to the department. Accurately compute charges incurred by exhibitors regarding services, discounts, labor, and materials.
  • Respond to routine inquiries; collect fees from on-site customers and manage voicemail communications promptly.
  • Assist in staffing the Exhibitor Service desk on the exhibit floor during the move-in hours of conventions, trade shows, and public consumer events as required.
  • Ensure set-up aligns with customer specifications. Coordinate advanced orders and on-site modifications from clients to electricians, the technology department, and engineers for the completion of all installations before, during, and after events.
  • Clearly explain policies and procedures to customers in a friendly and professional manner.
  • Finalize payment requirements for exhibitors and prepare event summaries for routine billing.
  • Address customer complaints and concerns professionally.
  • Perform other duties as assigned.

Qualifications:

  • Excellent organizational, planning, and interpersonal skills.
  • Ability to comprehend and follow written and verbal instructions.

  • Proven problem-solving and communication skills.
  • Consistent record of dependability and reliability.
  • Proficiency in speaking, understanding, and reading Standard English is required.
  • Ability to work effectively with diverse groups of individuals at all organizational levels; skill in collaborating as part of a team.

Education and Experience:

High school diploma or GED preferred.

Computer Skills:

Intermediate computer skills, including the ability to create word documents and Excel spreadsheets.

Working Conditions:

The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job. This position requires extended periods of sitting, walking/standing on cement floors, and climbing stairs. Some bending, pushing, pulling, and stooping may be necessary to assist with utility service installations. The ability to lift objects up to 50 pounds to desk level is required. Employees may be subject to adverse conditions, and working hours will vary based on events, including irregular night and weekend hours. Radio usage of a two-way hand-held radio is required.
