Job Description

Expeditors is seeking a skilled Procurement Specialist to join our 3rd Party Systems and Services (3PSS) team. As a key member of our Information Services (IS) Department, you will play a critical role in supporting our company's technology needs by strategically sourcing third-party products and services.

The ideal candidate will have experience in software licensing and professional services contracts, as well as a strong understanding of standardized procurement processes and negotiations. You will be responsible for leading teams through the source selection process, managing procurement projects, and ensuring that all required approvals are obtained for contract execution.

As a Procurement Specialist, you will work closely with business partners, including legal, privacy, and cybersecurity teams, to plan procurement strategy, organize and manage the procurement process, and ensure that all contractual requirements are met.

Responsibilities
  • Lead teams through the source selection process, culminating in a final contract and obtaining all required approvals for execution.
  • Function as a liaison with business partners on Agreements and procurement projects impacting information needs, data, systems, contracts, policies, and procedures.
  • Engage with vendors on request for proposal and/or single-source procurements on contract scope, terms, and conditions, pricing, supporting documentation, and all other elements required for selecting a vendor and finalizing a contract.
  • Act as a liaison with business partners on Agreements and special projects impacting information needs, data, systems, contracts, policies, and procedures.
  • Lead/support the development of procurement-related management reporting.
  • Work closely with other members of the 3PSS team to manage procurement backlog and share procurement project progress.
  • Provide high-level customer service to all levels of the organization, from IS teams up to and including senior executives.
  • Engage effectively with the IT Purchasing group to ensure seamless management of financial approvals and invoicing.
  • Assist in development and maintenance of contracts documentation for accurate tracking, history, and audit purposes.
  • Support the communication of department guidelines, initiatives, and achievements through presentations and status reporting.
Qualifications
  • Experience in software licensing and professional services contracts, standardized procurement processes, and negotiations.
  • Ability to manage multiple procurement projects at once, juggling competing priorities effectively while maintaining positive working relationships with business partners.
  • Ability to interpret and explain contracts, their terms, and their implications.
  • Experience with Supplier scorecards and defining key performance indicators.
  • Some experience with improving and streamlining procurement processes.
  • Excellent written and verbal communication skills, time management, and organizational skills.
  • Experience and proficiency with Microsoft tools, including SharePoint, OneNote, and Office; experience with Azure DevOps a plus.
Desired Qualifications
  • Passion for contracts work, with a proven track record of effectively managing sourcing projects, from small vendor renewals to large enterprise deals.
  • 8+ years of experience in software licensing and professional services contracts.
  • Experience in defining and improving acquisition strategies and overall procurement processes.
  • Experience implementing and using Contract Lifecycle Management (CLM) tools.
