Job Overview

The Administrative Specialist will provide high-level administrative support to the Health & Safety Department within the EHS Division. This role involves tracking and monitoring administrative workflow, implementing process improvements, and staying updated on procedural changes.

Key Responsibilities

  • Provide advanced-level administrative support, including maintaining and updating the Department's electronic calendar, document logs, staff certifications, and databases.
  • Schedule and coordinate meetings, and provide support to Department Head and managers as requested.
  • Support with scheduling, meeting minutes, database support, maintenance requests, and tracking.
  • Coordinate administrative requests and provide support to division staff as needed.
  • Provide backup to Health Services Clinic Reception and interact with EHS Administrative staff in meetings and on committees or teams.

Requirements

  • 3+ years of relevant administrative and clerical experience, including demonstrated ability to work under minimal supervision.
  • Excellent customer service orientation and ability to comprehend and analyze customer, operational, and administrative requirements.
  • Advanced knowledge in Microsoft Office and Google Suite, and ability to maintain a calm and composed demeanor in a dynamic environment.
  • Ability to perform the physical requirements of this position, including sitting and performing computer-related functions for up to 8 hours per day.
