Administrative Support Specialist

As an Administrative Assistant III at Bay Systems Consulting Inc., you will provide comprehensive administrative support to ensure the smooth operation of our office. This role requires a high level of judgment and initiative, with a focus on delivering exceptional customer service and ensuring compliance with company policies and procedures.
Key Responsibilities:
- Provide administrative support to senior management and other staff members, including scheduling meetings, preparing correspondence, and maintaining records.
- Manage procurement processes, including submitting requisitions and tracking order status.
- Process invoices and reimbursements, ensuring timely submission and accurate payment.
- Coordinate hosted events, including planning, coordination, and tracking budgets and payments.
- Manage travel arrangements and reimbursements for staff and guests.
- Serve as backup timekeeper and property tracking support.
- Provide front office support, including serving as the first point of contact for external and internal customers.
- Be a resource to others, providing guidance and training on administrative procedures and policies.
Requirements:
- Minimum 2-4 years of relevant administrative experience.
- Excellent interpersonal and customer service skills.
- Strong computer skills, including Microsoft Office and electronic mail.
- Confidentiality and discretion skills.
- Ability to work independently and as part of a team.
- Proactive follow-through on tasks and communication of status updates.
- Strong analytical and problem-solving skills.
- Advanced written and verbal communication skills.
