Job Description

As an Administrative Assistant III at Bay Systems Consulting Inc., you will provide comprehensive administrative support to ensure the smooth operation of our office. This role requires a high level of judgment and initiative, with a focus on delivering exceptional customer service and ensuring compliance with company policies and procedures.

Key Responsibilities:

  • Provide administrative support to senior management and other staff members, including scheduling meetings, preparing correspondence, and maintaining records.
  • Manage procurement processes, including submitting requisitions and tracking order status.
  • Process invoices and reimbursements, ensuring timely submission and accurate payment.
  • Coordinate hosted events, including planning, coordination, and tracking budgets and payments.
  • Manage travel arrangements and reimbursements for staff and guests.
  • Serve as backup timekeeper and property tracking support.
  • Provide front office support, including serving as the first point of contact for external and internal customers.
  • Be a resource to others, providing guidance and training on administrative procedures and policies.

Requirements:

  • Minimum 2-4 years of relevant administrative experience.
  • Excellent interpersonal and customer service skills.
  • Strong computer skills, including Microsoft Office and electronic mail.
  • Confidentiality and discretion skills.
  • Ability to work independently and as part of a team.
  • Proactive follow-through on tasks and communication of status updates.
  • Strong analytical and problem-solving skills.
  • Advanced written and verbal communication skills.
