Accounts Receivable Coordinator

We are looking for a meticulous and reliable Accounts Receivable Coordinator to join our team. This role is essential in ensuring that all accounts receivable tasks are executed with precision and within designated timelines. The successful candidate will collaborate with current staff to manage both accounts receivable and accounts payable functions, as well as assist with project administration for various projects.
Key Responsibilities:
- Accurately complete all company billing processes in a timely manner.
- Facilitate collection efforts to guarantee prompt payment receipt.
- Record payments received from clients.
- Maintain current Washington Reseller permits on file.
- Prepare conditional and unconditional lien waivers.
- Provide credit references as required.
- Establish, oversee, and finalize all public and private projects.
- Onboard new vendors, including W-9 forms, licenses, and insurance documentation as necessary.
- Ensure all active subcontractors possess up-to-date licenses and insurance.
- Monitor subcontractors on prevailing wage projects, including intents, payrolls, and affidavits.
- Select and authorize vendor invoices for weekly payment runs.
- Adhere to joint check agreements.
- Address all accounts payable vendor payment inquiries.
- Conduct monthly audits for WSDOT diversity management.
- Prepare monthly retention reports for WSDOT.
- Complete L&I and local agency apprenticeship reporting.
- File monthly Department of Revenue returns and local quarterly/annual returns.
- Perform project retention release audits by DOR, ESD & L&I.
- Execute additional duties as assigned.
Qualifications and Skills:
- Prior experience in the construction industry is essential.
- Familiarity with construction software programs (Sage preferred).
- Ability to multitask, solve problems, and work under pressure.
- Exceptional organizational skills, time management, and prioritization capabilities.
- Strong interpersonal skills are crucial.
