Job Title: Automotive Warranty Administrator

As a key member of our service department, the Automotive Warranty Administrator plays a vital role in ensuring seamless daily operations. This position assists the Service Director in managing warranty claims, reconciling service schedules, and closing repair orders. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask efficiently.

Responsibilities:
  • Process and submit warranty claims to the factory, ensuring accurate documentation and reconciliation.
  • Verify criteria required by the factory or distributor, ensuring compliance with regulations.
  • Reconcile warranty receivables with payments through the accounting schedule.
  • Post warranty payments for accounting purposes.
  • Maintain service accounting schedules and coordinate used inventory for DEQ testing.
  • Develop and implement a quarterly training schedule for department employees.
  • Monitor employee schedules in accordance with state law and company policy.
  • Request reimbursement of PDI from the factory and maintain the corresponding accounting schedule.
  • Resubmit rejected claims promptly or obtain authorization to write them off.
  • Follow up on payment of outstanding claims.
  • File and maintain all service records as required by the director.
  • Assist with clerical needs as directed by the director.
Requirements:
  • Excellent communication skills, including listening and speaking.
  • Ability to read, speak, and understand English.
  • Ability to interpret various instructions in written, oral, or schedule form.
  • Ability to multitask and work efficiently.
  • Physical ability to use computer hardware and software.
  • Team player with a positive attitude.
  • Computer literate in MS Word, Advanced Excel, and Outlook.
  • Organized and detail-oriented.
  • Deadline-oriented.
  • Research skills.
  • Basic knowledge of dealership operations and/or office/clerical experience.
