Job Overview:

The Manager I is responsible for overseeing the daily operations of the Asset Management Office, aligning with the agency's objectives. This role includes setting goals and objectives for various sections within the Asset Management Office.

The position entails reviewing, analyzing, and evaluating asset data, preparing comprehensive reports, and addressing inquiries from customers and stakeholders regarding asset management.

Daily management of staff tasks, prioritization, and productivity goals is essential. The Manager will plan, assign, and supervise workloads to ensure timely task completion.

Additionally, the role involves monitoring financial systems for asset transactions, recommending and approving actions to resolve transaction issues, and leading internal asset management projects as assigned.

Key responsibilities include maintaining accurate asset records, documentation, and reports, while providing administrative and technical guidance for asset property management and inventory control functions.

The Manager will oversee the status and disposition of asset inventory records and physical inventory to ensure compliance with relevant regulations, policies, and procedures.

This position operates under moderate supervision, allowing for some initiative and independent judgment, while supervising the work of other staff members.

Core Responsibilities:

Regular attendance and adherence to agency leave policies are required, along with performing additional duties as assigned.

Manage daily operations of the asset management office and reporting team, which includes overseeing staff workloads, providing guidance, and assisting stakeholders and customers with inquiries related to asset management policies and processes.

Deliver weekly productivity reports in a clear format and establish objectives to meet productivity standards set by the agency's leadership.

Supervise staff in conducting asset-related research to identify discrepancies and necessary corrections, ensuring the accuracy of asset records across financial systems.

Evaluate asset management module records for accuracy, ensuring compliance with departmental policies and relevant statutes.

Recommend improvements for asset management operations, policies, and processes, coordinating with stakeholders for implementation.

Monitor financial system reconciliation entries to ensure asset records and balances comply with accounting rules and regulations.

Provide technical guidance on asset management policies and procedures to staff, contractors, and other internal program areas.

Assess transaction errors within the asset management system, reviewing reports and logs, and collaborating with other modules for data correction.

Prepare final condensed inventory reports for management, overseeing ongoing and annual physical inventory projects to meet established goals and compliance requirements.

Manage performance evaluations and development plans for direct report staff, promoting self-development initiatives.

Establish goals and objectives for asset management staff, developing schedules for maintaining accurate asset management system records.


Required Skills and Qualifications:
A minimum of 4 years of supervisory experience in asset management is required.

At least 2 years of experience in a Level 1 Subject Matter Expert support role.

A minimum of 5 years of experience in data analysis related to accounting and asset management.

Proficiency in Excel at an intermediate level or higher.

Experience in database management, including updating and troubleshooting.

Knowledge of applicable local, state, and federal laws and regulations governing asset management practices throughout the asset lifecycle.

Strong analytical skills to evaluate alternative solutions and approaches to problems related to personnel and business needs in a dynamic asset management environment.

Proficient in using various software applications to perform complex tasks requiring technical analysis and guidance.


Ability to manage fluctuating program demands and adjust goals to meet deadlines.

Capacity to devise solutions to administrative challenges while fostering a professional and open rapport with staff.

Must possess the ability to develop and assess asset management policies and procedures to ensure alignment with agency standards.
