SUMMARY

Under the guidance of the Chief Operating Officer, the Front Desk Supervisor oversees all aspects of the front office, including the management of patient appointment systems, cashiering functions, and coordination of front desk personnel. Proficiency in both Spanish and English is essential.

RESPONSIBILITIES

The following responsibilities are illustrative and not exhaustive:

  • Supervise and schedule all front office staff, managing resources such as the patient reception area and appointment scheduling.
  • Ensure patients are scheduled according to established protocols when providers are available.
  • Maintain confidentiality of patient demographics and financial information, ensuring the highest standards of privacy.
  • Welcome and greet patients in a courteous and professional manner.
  • Coordinate provider schedules to align with established protocols.
  • Prepare daily, weekly, and monthly reports summarizing patient activity by provider, including demographic data and appointment metrics.
  • Develop and update procedural manuals for appointments, cashiering, and other front office functions.
  • Ensure proper maintenance of the multi-user computer system in accordance with COO guidelines and best business practices.
  • Perform cashiering duties, including daily collection records and deposit preparation.
  • Execute additional duties as assigned.

KEY PERFORMANCE INDICATORS

  • Provider satisfaction.
  • Patient satisfaction.

  • Compliance with attendance policies.
  • Timely completion of assigned tasks.

QUALIFICATIONS

Applicants must possess a bachelor's degree in business or a related field, along with one year of managerial experience. Experience in Medical Billing is required. Candidates should be adept in automated data systems, spreadsheets, and scheduling techniques. Proven leadership skills, teamwork, integrity, and customer service abilities are essential. Excellent organizational and communication skills (both verbal and written) are required. Bilingual proficiency in Spanish and English is mandatory.

WORKING CONDITIONS

This position is hourly and governed by the Fair Labor Standards Act. The Front Desk Supervisor is expected to maintain a standard 40-hour workweek.
