This position also involves managing clerical duties, maintaining communal areas, and assisting in the organization of events and meetings. The individual in this role actively engages with and supports colleagues. Our Wilmington facility is currently in a start-up phase, requiring all team members to contribute to operational readiness. The Office Administrator thrives in this dynamic setting and finds satisfaction in proactively offering assistance wherever possible.
The ideal candidate will possess a keen eye for detail, a strong commitment to timely completion of tasks and projects, a service-oriented mindset, and a dependable nature, fostering recognition and appreciation in ongoing interactions with team members.
Key Responsibilities- Oversee the upkeep of breakroom and shared spaces, including light cleaning, restocking supplies, and preparing coffee.
- Support the brewing department with daily laundry tasks.
- Assist in coordinating company events, team engagement activities, meetings, and training sessions.
- Plan and arrange catering for quarterly town hall meetings, departmental meetings, training, and special events.
- Ensure the visitor station is well-stocked and maintain visitor records.
- Welcome and orient guests as necessary.
- Monitor and manage supplies for the office, personal protective equipment, break room, new hires, and cleaning services.
- Handle order requests for Amazon and Granger, including placing and tracking orders.
- Manage accounts for contract services such as Cintas, Canteen, and Granger.
- Assist with recruitment, orientation, and onboarding processes.
- Implement and track employee recognition programs for anniversaries, milestones, and significant life events.
- Maintain bulletin boards in common areas.
- Perform administrative tasks including data entry, filing, and report preparation.
- Ensure adherence to company policies and procedures, as well as regulatory standards.
- Adhere to Good Manufacturing Practices (GMP) while in the production area and encourage team compliance.
- Understand and apply SQF policies related to pest control, visitor management, allergen handling, and sanitation.
- Demonstrate commitment to food safety and quality, assisting the company in meeting its standards.
- Report any food quality and safety issues to the Quality Assurance Manager to ensure proper investigation and resolution.
- Proficient in Google Suite and/or Microsoft Office applications.
- Ability to manage confidential information with integrity.
- Strong verbal and written communication skills.
- Service-oriented with a friendly demeanor.
- Proactive attitude with a willingness to assist wherever needed.
- Adaptable to change and capable of bringing structure to chaotic situations.
- Detail-oriented, organized, and able to juggle multiple projects simultaneously.
- High school diploma or GED required; associate's degree preferred.
- Minimum of 2 years of administrative experience required.
- Must successfully pass a background check.
- This is an onsite, full-time position in a well-appointed office and new manufacturing facility.
- Ability to sit, stand, and walk for extended periods.
- Capability to lift and carry up to 25 pounds.
- Proficient in using a computer and other office equipment.
