Join Our Team
We are seeking a highly skilled and detail-oriented Human Resources Assistant to join our team. As a key member of our HR department, you will be responsible for union new-hire orientation, employee record-keeping, and providing administrative support to our HR team. The ideal candidate will have a strong background in HR, excellent communication skills, and the ability to maintain confidentiality and discretion.

Key Responsibilities
Some of the key responsibilities of this role include:
  • Processing union new hire employee onboarding, including the onboarding summary, collection of documents, file management, and data entry into applicable systems.
  • Completing Forms I-9, verifying I-9 documentation, and maintaining I-9 files, including monthly and annual audits.
  • Conducting and reviewing pre-employment background checks for all union employees.
  • Filing Chain of Custody Forms and drug test results for all union pre-employment and random drug tests, and advising the HR Manager and HR Advisor of positive results.
  • Assisting in the manpower request tracking process with open and filled requests.
  • Assisting in filing all employee documents sent to HR from various departments.
  • Conducting union new hire follow-up phone calls after employees have successfully completed their onboarding process.
  • Communicating JATC correspondence from the JATC to the appropriate employee and supervisor.
  • Maintaining proper record-keeping of employment files to ensure confidentiality.
  • Completing Department of Transportation verification of employment for all DOT-regulated employees.
  • Supporting the Human Resources team across HR functions and processes.
Requirements
The ideal candidate will have:
  • Proficiency in Microsoft Office Suites (Outlook, Word, Excel).
  • Excellent verbal and written communication skills, with the ability to communicate in a concise, professional, and timely manner.
  • Ability to maintain a high degree of discretion, diplomacy, and confidentiality.
  • Critical thinking skills - using logic to identify alternative solutions, conclusions, or approaches to problems.
  • Proficiency with or the ability to quickly learn HRIS and other Human Resources systems.
  • A valid Class C Driver's License with a clean driving record.
