The Office Manager plays a crucial role in ensuring the smooth operation of our organization. This position is responsible for managing day-to-day activities, focusing on efficiency and time management.

Key Responsibilities:
  • Manage work order flow from inception to closure.
  • Collect and analyze data to provide reports to upper management.
  • Collaborate with internal and external customers to ensure company standards are met.
  • Oversee the management of purchase orders, cycle counts, shipping and receiving, supplies, equipment, and invoicing within SAP software.
  • Organize and schedule location meetings and events.
  • Communicate with the IT department to ensure divisional needs are met.
  • Maintain contracts and pricing with vendors and service providers to ensure timely invoicing and payment.
  • Oversee systems for organizing company documents.
  • Participate in regular P&L meetings to ensure budgets are met.
  • Manage the dispatching of work orders and installations to technicians.
  • Manage office personnel in working with third-party service requests.
  • Manage communication processes with internal and external customers in conjunction with the quoting system.
  • Perform tasks in a safe manner, complying with local, state, and federal regulations and company policies.
Requirements:
  • Excellent verbal and written communication skills.
  • Highly organized and detail-oriented with the ability to complete multiple projects.
  • Strong organizational and planning skills.
  • Excellent customer service and data entry skills.
  • Ability to work well under pressure, be flexible, and cooperative.
  • Must work efficiently and effectively, both independently and as a team.
  • Able to meet deadlines and complete assignments within stated time frames.
  • Present and maintain a professional appearance and demeanor.
  • Computer proficiency in Windows and Microsoft applications (Word & Excel); and SAP.
  • Maintain a positive work atmosphere by performing and communicating in a manner that promotes strong relationships with employees, co-workers, customers, and management.
Additional Working Conditions:
  • Exposure to residential and commercial waste.
  • Ability to work flexible hours, including overtime, weekends, and/or holidays.
  • Legally eligible to work in the United States.
  • Valid driver's license (if applicable).
  • Must successfully complete pre-employment testing.
  • Must be able to read and speak the English language.
