Job Summary

We are seeking a highly skilled Senior Account Payable Specialist to join our team at Aston Carter. As a key member of our accounting team, you will be responsible for performing various accounting tasks to ensure accurate and timely completion of work within accounts payable.

Key Responsibilities:

  • Follow established accounts payable systems, procedures, and policies, in adherence to company guidelines.
  • Responsible for subcontractor payment applications and purchase orders.
  • Assist in processing payment of vendor and subcontractor invoices; checks to make sure all subcontractors are in compliance before releasing funds.
  • Ensure timely payments of vendor invoices and that accurate records are being maintained.
  • Provide accounting assistance to project managers and respond to financial questions/concerns to meet business needs.
  • Build and maintain vendor relationships.
  • Assist in handling check/electronic disbursements, 1099s, W-9s, lien waivers, retainages, compliances, balancing vendor statements, joint check disbursements, and balance confirmations from suppliers.
  • Prepare and file annual 1099 forms.
  • Resolve discrepancies on invoices, statements, and reports by interfacing with other departments and/or vendors/subcontractors.
  • Assist with the coding and processing of invoices as required to aid in job cost controls and works with project managers on budget issues.
  • Makes recommendations to supervisor for cost-effective methods of accomplishing specific functions.
  • Prepare special reports and performs various other general accounting tasks as needed.
  • Performs additional responsibilities as assigned.

Requirements:

  • Minimum required Bachelors Degree in Business, Accounting, or equivalent experience.
  • Minimum required Two (2) years Construction Accounts Payable experience or combination of equivalent training and experience.
  • Proficient in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word.
  • Basic understanding of general construction accounting.
  • Ability to adapt quickly to accounting software Viewpoint experience strongly preferred.
  • Excellent verbal and written communication skills.
  • Demonstrated understanding and familiarity with processing subcontractor payment applications, purchase orders, and other project-based invoices.
