The Facility & Material Handling Maintenance Support Specialist plays a crucial role in assisting the Facility Maintenance Manager, Maintenance Service Managers, and maintenance technicians in the daily operations of the maintenance department. This position involves executing specialized maintenance functions, such as managing and processing work orders and purchase orders through various systems, liaising with existing vendors, and identifying new vendor opportunities when required. Additionally, the role includes generating tailored reports from the Computerized Maintenance Management System (CMMS), overseeing parts inventory and organization, ensuring compliance with spending and safety documentation retention policies, and performing standard office tasks like filing, copying, faxing, and answering phone calls.

Key Responsibilities

  • Facilitates the completion of work order forms, reviews them for management approval, and collaborates with technicians and vendors to address any deficiencies through various communication methods.
  • Manages contract and purchase order forms for management approval, follows up on the delivery and receipt of goods and services, and interacts with vendors to resolve any issues.
  • Oversees workflow processes, ensuring accurate data entry and retrieval of information via reports and customized queries through the CMMS.
  • Maintains oversight of parts inventories, including their physical movement and barcoding.
  • Conducts research to identify the best pricing and quality options for goods and services based on departmental requirements.
  • Monitors spending against budget through contracting and payment ledgers.
  • Maintains files for contracts, spending, and safety-related documents as required by Business Control Self Assessment (BCSA) and record retention policies.
  • Provides training and orientation for new maintenance personnel at the designated location and within the region as needed.
  • Handles shipping and receiving of freight, which may include operating a forklift.
  • Performs additional duties as assigned.
Minimum Education Requirements
  • A High School Diploma or GED is required. An Associate's degree in Office Administration is preferred.
Minimum Experience Requirements
  • At least two (2) years of experience in supporting equipment maintenance and repair, with a solid understanding of preventive and corrective maintenance processes.
  • Familiarity with company policies and procedures is preferred.
  • Forklift Certification is preferred, and the company will assist any candidates in obtaining this certification if necessary.
Knowledge, Skills, and Abilities
  • Proficient in general business skills, including typing, data entry, and the use of office equipment such as phones, copiers, and fax machines.
  • Strong time management, organizational, and multitasking skills to thrive in a fast-paced environment while maintaining attention to detail and accuracy.
  • Proficient in software applications, including Microsoft Office and web-based tools.
  • Excellent customer service skills to respond effectively and professionally to inquiries.
  • Ability to maintain records of meetings, action items, and task assignments for the maintenance team.
  • Experience in budget and inventory analysis.
  • Forklift Certification is preferred, with company support available for obtaining it.
Job Conditions

Work schedule is Monday - Friday from 7:00 a.m. to 3:30 p.m.
