Maintenance Support Specialist II

The Facility & Material Handling Maintenance Support Specialist plays a crucial role in assisting the Facility Maintenance Manager, Maintenance Service Managers, and maintenance technicians in the daily operations of the maintenance department. This position involves executing specialized maintenance activities, such as managing and processing work orders and purchase orders through various systems, engaging with existing vendors, and identifying new vendor opportunities as needed. The role also includes generating tailored reports from the Computerized Maintenance Management System (CMMS), overseeing parts inventory and organization, and maintaining documentation related to spending and safety in compliance with retention policies and procedures. Additionally, common office tasks such as filing, copying, faxing, and answering phone calls are part of the responsibilities.
Key Responsibilities
- Complete and review work order forms for management approval, and collaborate with technicians and vendors to address any deficiencies through various communication methods.
- Prepare contract and purchase order forms for management approval, follow up on the delivery and receipt of goods and services, and resolve any vendor-related issues.
- Manage workflow processes, including data entry and retrieval of information via reports and customized queries through the CMMS.
- Oversee part inventories, including physical movement and barcoding of items.
- Research and evaluate the best pricing and quality options for goods and services based on departmental requirements.
- Monitor spending against budget through contracting and payment ledgers.
- Maintain contract, spending, and safety-related document files in accordance with Business Control Self Assessment (BCSA) and record retention policies.
- Provide training and orientation for new maintenance personnel at the designated location and within the region as necessary.
- Handle shipping and receiving of freight, including operating a forklift.
- Perform additional duties as assigned.
- High School Diploma or GED is required; an Associate's degree in Office Administration is preferred.
- A minimum of two (2) years of experience in supporting equipment maintenance and repair, with a solid understanding of preventive and corrective maintenance processes.
- Familiarity with company policies and procedures is preferred.
- Forklift Certification is preferred; the company will assist those without certification in obtaining it.
- Proficient in general business skills, including typing, data entry, and the use of office equipment such as phones, copiers, and fax machines.
- Strong time management, organizational, and multitasking skills necessary to thrive in a fast-paced environment while maintaining attention to detail and accuracy.
- Proficient in software applications, including Microsoft Office and web-based tools.
- Excellent customer service skills to professionally respond to inquiries.
- Ability to maintain records of meetings, action items, and task assignments for the maintenance team.
- Experience in budget and inventory analysis.
- Forklift Certification is preferred, with support available for obtaining it.
Additional Information: The work schedule is Monday through Friday from 7:00 a.m. to 3:30 p.m.
