The Facility & Material Handling Maintenance Support Specialist plays a crucial role in assisting the Facility Maintenance Manager, Maintenance Service Managers, and maintenance technicians in the daily operations of the maintenance department. This position involves executing specialized maintenance tasks, including the completion and processing of work orders and purchase orders through various systems, engaging with existing vendors, and identifying new vendor opportunities as needed. The specialist is also responsible for generating tailored reports from the Computerized Maintenance Management System (CMMS), overseeing part inventory and organization, and maintaining documentation related to spending and safety in compliance with retention policies and procedures. Additionally, the role encompasses standard office duties such as filing, copying, faxing, and managing phone communications.

Key Responsibilities

  • Prepare and complete work order forms, ensuring management approval, and collaborate with technicians and vendors to address any deficiencies through various communication methods.
  • Manage contract and purchase order forms for management approval, track delivery and receipt of goods and services, and liaise with vendors to resolve any issues.
  • Oversee workflow processes, including data entry and retrieval of information via reports and customized queries through the CMMS.
  • Monitor part inventories, including the physical movement and barcoding of items.
  • Conduct research to identify the best pricing and quality options for goods and services based on departmental requirements.
  • Track expenditures against budget through contracting and payment ledgers.
  • Maintain files for contracts, spending, and safety-related documents as required by Business Control Self Assessment (BCSA) and record retention policies.
  • Provide training and orientation for new maintenance personnel at the designated location and within the region as necessary.
  • Handle shipping and receiving of freight, including operating a forklift.
  • Perform additional duties as assigned.
Minimum Qualifications
  • High School Diploma or GED is required; an Associate's degree in Office Administration is preferred.
Experience Requirements
  • A minimum of two (2) years of experience in supporting equipment maintenance and repair, with a solid understanding of preventive and corrective maintenance processes.
  • Familiarity with company policies and procedures is preferred.
  • Forklift Certification is preferred; the company will assist individuals in obtaining certification if necessary.
Knowledge, Skills, and Abilities
  • Proficient in general business skills, including typing, data entry, and the use of office equipment such as phones, copiers, and fax machines.
  • Strong time management, organizational, and multitasking skills to thrive in a fast-paced environment while maintaining attention to detail and accuracy.
  • Proficient in software applications, including Microsoft Office and web-based tools.
  • Excellent customer service skills to respond effectively and professionally to inquiries.
  • Ability to maintain records of meetings, action items, and task assignments for the maintenance team.
  • Experience in budget and inventory analysis.
  • Forklift Certification is preferred, with support provided for obtaining certification.
Job Conditions

Work schedule is Monday to Friday, with standard operating hours.
