Job Summary

We are seeking a highly skilled and experienced Rights and Permissions Coordinator to join our team at the Museum of Fine Arts, Boston. The successful candidate will be responsible for coordinating copyright clearance and providing guidance and advice on internal policies, procedures, and activities involving intellectual property rights.

Key Responsibilities
  • Perform diversified administrative tasks related to contracts and object permissions.
  • Oversee operations of the Department that relate to object research, database management, and copyright issues of objects in the collections of the MFA and lending institutions.
  • Determine copyright status and identify rights holders for works within our collection and third-party content the Museum wishes to use.
  • Contact artists, institutions, and representative organizations to obtain permission for MFA projects related to exhibitions, publications, marketing, public relations, education, and merchandise.
  • Conduct research on the Internet and communicate with galleries, artist estates, and artists to find contact information for rights holders.
  • Prepare general reproduction permission letters to be sent to rights holders.
  • Record rights information on object and artist records in the central database using consistent terminology.
  • Record the rights holder's contact information and document communication in the IP database for departmental reference.
  • Licenses images, audio, film clips, and other content on an as-needed basis for various MFA uses, including exhibitions, educational programs, marketing campaigns, and publication projects.
  • Review, negotiate, and draft various types of contracts, including nondisclosure agreements, partnership agreements, service agreements, intellectual property licenses, and new technology development agreements, with a focus on advertising, marketing, and business development-related matters.
  • Work closely with legal counsel when necessary to create standard contracts for future use and specialized agreements for individual circumstances and reports legal issues to the department head.
  • Coordinate maintenance of a portfolio of registered trademarks and conducts knock-out searches for new program names and logos.
  • Supervise and direct interns on copyright projects and database management of such projects.
Requirements
  • 5+ years' related experience in licensing, rights clearances, or publishing.
  • BA/BS required.
  • Knowledge of copyright, trademark, rights of publicity, Fair Use, Public Domain, and other intellectual property concepts sufficient to identify and communicate issues.
  • Experience handling and negotiating licensing and publication agreements.
  • Must have a collaborative style and effectively manage internal and external relationships.
  • Outstanding verbal and written communication skills.
  • Strong analytical and organizational skills.
  • Demonstrated self-starter with outstanding follow-through.
  • Exceptional attention to detail.
  • Ability to project manage, multi-task, prioritize assignments, and adapt rapidly.
  • Expert Microsoft Office skills and database experience.
Compensation and Benefits

The Museum of Fine Arts, Boston offers a competitive salary range of $54,000 - $57,000 per year, commensurate with experience. The Museum is an Equal Opportunity Employer and is committed to building a culturally diverse and inclusive work environment.
