We are seeking a detail-oriented Commercial Property Administrator to support the smooth operations of a commercial property in Houston, TX.

Key Responsibilities:

Provide administrative support to the Property Manager, including scheduling meetings, managing correspondence, and handling day-to-day operations paperwork.

Act as a liaison between tenants and management, addressing tenant inquiries, resolving complaints, and ensuring tenant satisfaction.

Receive, log, and prioritize maintenance requests, schedule and oversee repair work, and conduct follow-up with vendors and contractors to ensure quality work.

Assist in tracking rent payments, processing tenant invoices, and addressing overdue accounts in coordination with the Property Manager.

Build relationships with local vendors, service providers, and contractors, and schedule and oversee contracted work for the property, ensuring compliance with building standards.

Assist with the preparation, renewal, and amendment of lease agreements, and maintain a clear system for tracking lease expirations and tenant files.

Support the Property Manager in performing regular inspections of the building to ensure that all areas meet safety, security, and maintenance standards.

Assist with the organization of tenant or property-related events, and coordinate services for such activities as needed.

Help with compiling financial reports, including rent rolls, maintenance expenses, and utility costs, and assist with the preparation of budgets, forecasts, and expense tracking.

Ensure compliance with local regulations, building codes, and safety standards, and maintain and update safety policies and procedures for the property.

Oversee tenant move-in/move-out processes, ensuring inspections are conducted, and units are prepared for new tenants.

Qualifications:

5-7 years of experience in property management, real estate, or facility management is preferred.

High school diploma or GED required; associate or bachelor's degree in business, real estate, or related field preferred.

Excellent organizational, multitasking, and time-management skills, strong interpersonal and communication abilities, and proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Basic understanding of property management software, detail-oriented and capable of problem-solving in a fast-paced environment.

Ability to walk through the property for inspections and occasionally perform light physical tasks.
