Job Title: Events Marketing Coordinator

About the Role

We are seeking an energetic and creative events person to support and help create awareness for the Doceree brand. The successful candidate will work closely with our commercial teams to create and strengthen relationships with new and key customers through industry trade shows and custom experiences.

Key Responsibilities
  • Day-to-day contact for conference-related and sponsorship activities
  • Assist with the planning and execution of conferences, events, sponsorships, employee offsites, and holiday parties
  • Proven project management, organizational skills, and attention to detail
  • Ability to prioritize and manage multiple responsibilities with shifting priorities and timelines
  • Ability to work both independently and in a team, collaboratively
  • Assist with data tracking (RSVPs, personal information, etc.)
  • Reconcile the Events & Conferences Corporate Amex card (collect and track expense receipts)
  • Manage all billing and payments for all event-related expenses (invoicing, check requests, payments)
  • Maintain Events & Conference closet and inventory (premiums/collateral)
  • Create and manage shipping manifests for certain events, oversee the packing of all items in the most organized way possible (clearly labeling each box's content, numbering boxes, etc.) tracking until destination
  • Order corporate-level awards/items
  • Assist with the research of hotels, restaurants, and meeting spaces for upcoming events
  • Assist with budget management for events
  • Clear and concise communication
  • Help with the maintenance of the electronic storage system as it relates to events
  • Facilitate pre and post-event evaluation reports
  • Maintain and coordinate Company association participation
  • Assist in onboarding of event speakers (including collection of logo, bio, photo, and logistical information)
  • Maintain and update spreadsheets of event timelines, action items, and future plans
  • Create session documents for panel prep sessions as needed
  • Assist in managing any agenda updates, run of show documents, website, etc.
  • Perform other duties as required
Requirements
  • Prior experience in event planning and coordination
  • Demonstrated ability to manage multiple projects at the same time
  • Strong communication and interpersonal skills
  • Ability to work collaboratively with cross-functional teams
  • Detail-oriented with excellent organizational skills
  • Flexibility and willingness to work irregular hours as dictated by event schedules and timelines and global offices
  • Fast learner with an entrepreneurial spirit that works well under pressure and remains calm
  • Always thinking one step ahead
  • Energetic, with an outstanding work ethic
  • Flexible & adaptable to the situation
  • Team player who responds quickly to requests from supervisors
  • 2+ years in events marketing
  • BS degree - marketing and communications preferred
  • B2B experience, preferably in media, start-up environment a plus
  • Experience servicing or working at an Ad Sales Media organization a plus
  • Advanced proficiency with English language, Word, Excel, and PPT a plus
