Job Summary

Florida Atlantic University is seeking a highly skilled Operations and Budget Coordinator to join its team in Boca Raton, FL. The successful candidate will be responsible for performing budget reports, tracking account balances, and providing administrative support to the Associate Director/Director of Research Programs and the Institute team.

Key Responsibilities
  • Prepare and analyze budget reports to ensure accurate financial management.
  • Assist in submitting budget amendments, costing allocation changes, and accounting adjustments.
  • Provide administrative support to the Associate Director/Director of Research Programs, including scheduling meetings, answering phone calls, and attending to guests/students/office/lab issues.
  • Maintain proper records of important documents and provide comprehensive support for the unit's research lab facilities.
  • Perform HR functions, including submitting job requisitions, assisting with recruiting and onboarding, and helping pay student stipends.
  • Cross-train and serve as a backup to the Office Administrator or other team members as needed.
  • Organize and facilitate unit events, informational sessions, and general faculty meetings.
  • Assist with research programs, grant tracking, and attend research trainings as needed.
  • Enter tuition waivers for students in accordance with university policy.
  • Assist with writing and editing newsletter material and managing and updating the unit's website content.

Requirements

To be considered for this role, applicants must have a Master's degree from an accredited institution in an appropriate area of specialization or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience.

Preferred qualifications include a degree in finance, accounting, or business, experience in research administration, and experience using Workday.
