Position Overview

The role of the Accounts Receivable Specialist is crucial in ensuring the financial integrity of our operations. This position requires attention to detail and the ability to manage multiple tasks efficiently.

Key Responsibilities:
  • Utilize accounting software to accurately record, store, and analyze financial data.
  • Provide essential administrative support to both the Accounts Receivable and Accounts Payable departments, including managing communications and directing inquiries appropriately.
  • Oversee a portfolio of new associations, ensuring accurate data entry in accordance with established procedures.
  • Handle research inquiries from field staff or clients related to Accounts Receivables, ensuring timely resolution through our ticketing system.
  • Process monthly invoices and billings for developers, ensuring accurate application of payments and wire transfers.
  • Manage requests for coupons and statements for new associations as required.
  • Facilitate the processing of new special assessments and budgets.
  • Assist the AR and AP Manager with various tasks, including fee waivers, bank reconciliations, and special project support.
  • Maintain comprehensive records in line with established guidelines for Accounts Receivables.
  • Support staff training initiatives as needed.
  • Assist with payment stop requests and voiding vendor checks.
  • Input GL Codes into our accounting system.
  • Review and process security deposit and maintenance refunds on a weekly basis.
  • Set up recurring vouchers in our financial software.
  • Address inquiries from accountants regarding vendor checks that are not posted.
  • Support the onboarding process for new associations.
  • Assist with vendor setups in our accounting systems.
  • Perform additional duties as assigned.

This position operates within a standard office environment, utilizing common office equipment such as computers and telephones. The role is primarily sedentary, with occasional filing that may require lifting files and standing.

Qualifications:

  • 3 to 5 years of relevant work experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and general computer skills.
  • Ability to work collaboratively in a team setting as well as independently.
  • Strong ability to meet deadlines and manage pressure effectively.
  • Experience handling sensitive or confidential information.
  • Demonstrated critical thinking and decision-making skills.
