Job Summary

We are seeking a highly organized and detail-oriented Front Desk Representative to join our team at Clearway Pain Solutions. As a key member of our front office staff, you will be responsible for providing exceptional customer service to patients and their families, while ensuring the smooth flow of patient information across the continuum of care.

Key Responsibilities
  • Collect and verify patient demographic, insurance, and financial information, and enter it into our Electronic Medical Record (EMR) system.
  • Assist patients with Phreesia tablets and medical forms, as needed.
  • Obtain patient emails for patient portal registration.
  • Collect co-pays, co-insurances, deductibles, and past due balances for all patients, and perform daily reconciliation of all money collected.
  • Process patient intake forms and schedule follow-up appointments through EMR.
  • Schedule follow-up appointments in accordance with insurance guidelines.
  • Organize and perform work effectively and efficiently, demonstrating standards of performance ownership, teamwork, communication, compassion, and service excellence.
  • Ensure all necessary paperwork and documentation are up to date and present at the time of service.
  • Handle phone inquiries from patients and others, screen calls to ascertain the nature and urgency of the inquiry, and refer callers to the appropriate personnel.
  • Make appointments via telephone, patient portal, and in-person.
  • Responsible for copying, barcoding, and scanning medical records, as needed.
  • Responsible for maintaining the cleanliness of the patient waiting area.
  • Prepare procedure packets.
  • Participate in and complete all required trainings and in-services.
Requirements
  • High School Diploma or equivalent.
  • Knowledge of Internet and Microsoft Office software (MS Word, MS Excel, MS PowerPoint, MS Outlook).
  • Excellent written and oral communication skills, including exceptional customer service.
  • Ability to establish and maintain effective working relationships with doctors, clinical staff, other co-workers, and the public.
  • Ability to work individually as well as within a team.
  • Ability to accurately collect and maintain money.
  • Ability to follow both verbal and written instructions.
  • Ability to work a flexible schedule.
  • Ability to respond with patience and understanding during stressful conditions related to patient health and emergent situations.
  • Ability to multi-task and prioritize.
  • Ability to demonstrate extreme attention to detail.
  • Ability to possess strong organization skills.
  • Ability to problem solve and use reasoning.
  • Ability to meet predefined quality standards.
  • Ability to maintain and project a professional attitude and appearance at all times.
Preferred Qualifications
  • Associate's Degree from an accredited college or university.
  • One (1) year of prior experience working with an Electronic Medical Record (EMR).
