The Front Desk Monitor plays a crucial role in delivering exceptional customer service while managing the front reception area. This position is primarily responsible for handling incoming phone calls, providing essential support to staff and management, and ensuring a welcoming environment for visitors and homeowners.
Key Responsibilities:
- Deliver outstanding receptionist services to all on-site property needs, ensuring the highest quality of customer service for inbound callers, visitors, and vendors.
- Collaborate with the Administrative Support team and the On-site Community Manager to efficiently oversee the front reception area and manage incoming calls, while assisting with various administrative tasks.
- Assess inbound calls to determine the appropriate course of action.
- Welcome all visitors and homeowners, identifying their immediate requirements.
- Oversee pickups and deliveries.
- Assist with the setup and breakdown of events as necessary.
- Perform additional related duties as assigned.
Essential Skills and Qualifications:
- Exceptional customer service and communication abilities.
- Capability to support administrative staff with diverse and evolving needs.
- Proficient in gathering information from callers and visitors in a professional manner.
- Adept at multitasking, prioritizing tasks, and meeting deadlines.
- Strong organizational and tracking skills.
- Ability to thrive in a fast-paced, high-volume environment.
- Proficient in utilizing computer applications and company database systems, including MS Office (Excel, Word, and Outlook), as well as internet and email systems.
- Effective interpersonal skills to engage positively with staff at all levels.
- Advanced verbal and written communication skills, with the ability to interact with all levels of management and staff.
- Ability to work collaboratively within the department and across other departments.
Work Environment:
This role involves sitting at a workstation utilizing a computer in an office setting, with occasional walking throughout the property as needed. There may be instances of assisting with event setups and meetings.
Qualifications:
Education: High School diploma or equivalent.
Experience: A minimum of two years in a Receptionist, Administrative Support, or Customer Service role within an office environment is required.
