Position Overview

Baird Holm LLP is in search of a motivated and dependable Office Hospitality Coordinator to deliver exceptional hospitality services to our team, clients, and guests. This crucial position ensures that every meeting and event runs smoothly, with a focus on meticulous preparation and outstanding service.

Key Responsibilities:

  1. Oversee and coordinate hospitality services for meetings and events, including room arrangements, setup, food and beverage service, hosting, and cleanup as required.
  2. Manage relationships with hospitality vendors, ensuring accurate catering orders and timely deliveries.
  3. Maintain and monitor hospitality supply inventory, including purchasing and tracking expenses.
  4. Keep a record of catering preferences and dietary restrictions for attendees.
  5. Provide daily reception coverage during breaks and serve as a backup when necessary.
  6. Ensure cleanliness and organization of conference rooms, kitchenettes, and common areas.
  7. Restock hospitality supply closets and kitchenettes on a daily basis.
  8. Assist in the planning and execution of internal and external events.
  9. Support Office Services by reporting maintenance or safety issues to building management.
  10. Update and maintain the Firm's portal calendar for scheduled meetings and events.
  11. Occasionally pick up refreshments and supplies as needed.
  12. Provide support to Office Services staff as required.
  13. Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent, with 2-3 years of relevant experience in an office environment.

Skills and Competencies:

  • Strong interpersonal skills; reliable team player; highly organized; self-motivated; keen attention to detail; effective time management; sound judgment and decision-making abilities.
  • Excellent verbal and written communication skills.
  • Proficient in MS Office applications, including Word, Excel, and Outlook.
  • Valid driver's license, proof of insurance, and access to a reliable vehicle.
  • Ability to lift up to 40 pounds, rearrange furniture, and stand or walk for extended periods.
  • This position requires a professional demeanor and a polished appearance.
