Job Overview

Membership Coordinator Position

This role is designed to offer administrative and clerical assistance to the organization. The Membership Coordinator is also responsible for delivering clear communication to families while ensuring high-quality customer service.

PRIMARY DUTIES (Key Responsibilities):

The core responsibilities of this position include:

  • Accurate maintenance of records related to member registration, attendance, food services, and compliance with grant stipulations.
  • Management of electronic database systems (COMET/ SAMIS/ MyClubHub).
  • Responding to inquiries via phone and providing informative customer service.
  • Preparation of correspondence, reports, and promotional materials as required.

Additional Duties

  • Participation in relevant staff meetings and training sessions.
  • Involvement in special programs and events as needed.
  • Assistance with organizing field trips.
  • Other tasks as assigned.

QUALIFICATIONS

  • High School diploma or equivalent.
  • A minimum of three years of experience in administrative support is required.
  • Experience working with youth is advantageous.
  • CPR and First Aid Certification or willingness to obtain (Training provided).
  • Proficiency in technology, including computer operations and word processing.
  • Strong written and verbal communication skills along with excellent organizational abilities.
  • Commitment to providing outstanding customer service to families, members, staff, and volunteers.
  • Ability to effectively communicate ideas, facts, and information.
  • Exceptional attention to detail and organizational skills.
  • Must pass background screening and drug testing.

WORK ENVIRONMENT:

This position typically operates Monday through Friday, with hours from 2 PM to 7 PM, with the possibility of additional hours as needed. Most work is conducted indoors, but outdoor activities may occur during special events.

PHYSICAL AND MENTAL DEMANDS:

  • Ability to sit, stand, and walk for extended periods, with occasional bending and squatting.
  • Capability to lift up to 20 lbs. when necessary.
  • Ability to hear at a normal conversational level.
  • Capacity to maintain a high energy level when required.
  • High degree of emotional intelligence is essential.
