Position Summary

This role is designed to be versatile and cross-functional, providing essential support across various teams to deliver outstanding service to our clients and the families they assist. You will be responsible for executing a range of standardized tasks within multiple operational frameworks, including transaction processing, data entry, archiving, and client interactions via phone or email. Your role will involve investigating discrepancies and taking initiative to resolve reconciliation issues. Additionally, you will have the chance to propose, test, and implement enhancements to existing processes. As a flexible member of the Operations team, you may be required to shift focus to support processing activities based on resource availability, demand, and service level agreements. Adaptability and quick transitions between tasks will be essential in this position. You will collaborate closely with colleagues within the ClearPoint team.

Key Responsibilities:

  • Execute daily operational tasks including new business data entry, payment processing, distribution payments, contract service management, reconciliation of outstanding cash items, customer service support, and daily balancing.
  • Ensure accurate data entry into various trust and recordkeeping systems by thoroughly reviewing documents for completeness and precision.
  • Investigate and rectify personal processing errors as identified in internal control documents.
  • Address and resolve issues related to missing, incomplete, or inaccurate information in documentation.
  • Contribute to team quality and responsiveness by performing daily tasks effectively.
  • Assist in testing production enhancements and develop and maintain standard operating procedures for operational workflows.
  • Support team performance by identifying obstacles and proposing alternative solutions to achieve or surpass team objectives.
  • Exhibit behaviors that align with high performance and foster supportive team dynamics.
  • Participate in team projects and undertake additional responsibilities as required by business needs.
  • Maintain comprehensive knowledge and adherence to all bank policies, procedures, products, and support systems, as well as all relevant state and federal banking laws, rules, and regulations.

Qualifications:

  • Exceptional attention to detail and accuracy, coupled with the ability to quickly grasp new concepts.
  • Effective communication skills with both internal and external clients.
  • Proficient in computer applications, particularly Microsoft Office, Excel, and Word.
  • Ability to work collaboratively and respectfully with all team members.
  • Willingness to learn new skills and adapt to changing work priorities.
  • High school diploma or equivalent; post-secondary education is a plus.
  • One to two years of relevant work experience; prior experience in banking, preneed, or trust services is preferred.
