Position Summary

The Front Office Supervisor plays a crucial role in ensuring the smooth operation of the front desk within our dermatology practice. This position is responsible for overseeing daily activities, managing staff, and maintaining high standards of patient care and service.

Key Responsibilities
  • Provide training and guidance to new team members on essential front desk functions, including:
    • Patient Check-In and Check-Out
    • Chart Preparation
    • Financial Transactions
  • Ensure accurate collection of copayments, patient balances, and insurance deductibles from all patients.
  • Foster a welcoming environment by ensuring the front desk team greets all patients and delivers exceptional service.
  • Act as a point of contact for patient concerns, collaborating with management to resolve issues effectively.
  • Oversee appointment confirmation processes to ensure all reminder calls are completed.
  • Coordinate scheduling efforts to ensure that appointments are managed proactively, with a focus on one-week advance preparation.
  • Serve as a super user for front office systems, providing coverage and training as necessary.
  • Assist with inventory management and ordering of office supplies to maintain operational efficiency.
  • Support the Practice Manager with various projects and initiatives as required.
  • Develop training materials and tools for front office staff to enhance their skills.
  • Monitor key performance metrics related to patient appointments, including no-shows and cancellations, to improve patient reactivation efforts.
  • Facilitate patient scheduling adjustments in response to provider availability changes.
  • Ensure security protocols are followed by managing alarm systems before and after shifts.
  • Ensure that daily schedules are printed and reviewed for any necessary patient rescheduling.
  • Manage voicemail communications, setting goals for team members to ensure timely follow-up.
  • Coordinate staff schedules and communicate staffing needs with management.
  • Promote a culture of excellence in patient service and effective communication among staff.
  • Identify opportunities for staff development and provide coaching as needed.

Qualifications

Education: High School Diploma required.

Experience: Minimum of two years in a medical office setting, with a preference for prior dermatology experience and some supervisory background.

Skills and Competencies
  • Strong written and verbal communication abilities.
  • Professional demeanor and appearance.
  • Familiarity with medical terminology related to dermatology.
  • Compassionate approach in interactions with patients and colleagues.
  • Ability to prioritize tasks and seek guidance when necessary.

Work Environment
This position is situated in a well-lit medical office setting, with occasional evening and weekend responsibilities.

Physical Requirements
