Position Overview:

Are you ready to step into the role of a Meeting and Events Planner? Globe Life is in search of a skilled Meeting and Events Planner to become part of our team.

In this capacity, you will oversee the organization and execution of incentive trips, corporate meetings, and training sessions. Exceptional interpersonal skills and adaptability in a dynamic environment are essential for success. The corporate event planner will be required to travel frequently to support senior staff in executing significant events both nationally and internationally. Additionally, this role entails the sourcing, planning, and management of small to mid-sized events from inception to completion. You will take full ownership of specific meetings without reliance on senior staff.

This is a hybrid role based in McKinney, TX (Work from Home on designated days, in-office on others).

Key Responsibilities:

  • Develop a project timeline; establish a workflow schedule with vendors to ensure timely and accurate management of all program details.
  • Utilize Cvent software to oversee the program from contract initiation to final billing.
  • Manage and negotiate additional hotel requirements, destination management services, airfare, and all third-party agreements.
  • Monitor attrition dates, cancellation policies, and ensure the execution of contracted services.
  • Facilitate communication between Marketing and meeting owners regarding registration and application requirements for assigned programs.
  • Coordinate and participate in site inspections as necessary.
  • Organize all program details and create a comprehensive itinerary that outlines all specifics and requirements.
  • Conduct program debriefs with meeting owners as needed.
  • Collaborate with accounting to finalize billing, reviewing invoices prior to reconciliation.
  • Maintain precise records, system entries, and complete file management in all meeting folders.
  • Assess program impact and adjust objectives and outcomes for continuous improvement.
  • Work with designated teams to communicate registration and travel needs, status meetings, and maintain ongoing communication throughout the program.
  • Assist with events of varying complexity, including those requiring high confidentiality and international scope.
  • Oversee the overall program budget, auditing all related billing for accuracy and consistently reporting expenses to management.
  • Maintain proactive and positive communication with clients to ensure understanding of expectations and satisfaction.
  • Collaborate with third-party suppliers to arrange their services.
  • Build strong relationships with multiple contacts within both company and supplier organizations.
  • Ensure accurate meeting forecasting.
  • Take ownership of onsite execution and meeting management.

Qualifications:

  • Bachelor's Degree or equivalent experience.
  • CMP certification is a plus.
  • Previous planning experience is advantageous.
  • Experience in onsite meeting execution.
  • Familiarity with the RFP process.
  • Contract negotiation skills.
  • Transportation management experience.
  • Event registration expertise.
  • Proficiency in Cvent.
  • Menu planning experience.
  • Budget management skills.
  • Ability to work accurately and meet deadlines.
  • Flexibility and adaptability to change.
  • Strong analytical skills.
  • Intermediate proficiency in Microsoft Word and Excel.
  • Willingness to travel as needed.
  • Detail-oriented with strong project management capabilities.
  • Self-starter with the ability to manage multiple tasks and complete projects within established timelines.
