Our firm is currently in search of a dedicated and detail-oriented Office Assistant/Scanning Clerk to enhance our operational efficiency. As a mid-sized consulting civil engineering company, we specialize in various engineering services, including land development and municipal engineering.
The primary responsibility of this position will involve leading a significant initiative to digitize files and engineering documents, facilitating improved document management. Additionally, this role will serve as a backup for our switchboard operations. The ideal candidate will work approximately 18-20 hours per week, ideally spread over five days, during standard office hours.
Key Responsibilities:
- Lead a document archival project to support the internal document retention strategy.
- Review and organize document folders, sort files, and maintain accurate logs of documents.
- Digitize records and ensure proper electronic storage in compliance with company protocols.
- Provide regular updates on project progress.
- Manage a multiline phone system effectively.
- Offer general administrative assistance to engineering and administrative staff as required.
Qualifications:
- 1-3 years of experience in general administrative roles; candidates with less experience may be considered for training.
- Familiarity with document scanning and archiving processes is advantageous.
- Proficient in operating a multiline phone system.
- High School Diploma or equivalent; a college degree is preferred.
- Exhibit a professional demeanor with clear communication skills.
- Ability to lift document storage boxes weighing up to 25-50 pounds and perform bending or stooping as necessary.
Compensation for this position ranges from $16 to $18 per hour, based on experience.
