About the Role

We are seeking a highly skilled and compassionate Administrative Assistant to join our dynamic team at Presbyterian Villages of Michigan. This is an excellent opportunity to make a meaningful impact in the lives of seniors and their families.

Job Summary

The successful candidate will provide exceptional administrative support, ensuring the smooth operation of our office and providing a positive customer service experience for residents, families, and staff.

Responsibilities
  • Manage departmental functions, including reception, telephone communication system, and mail distribution.
  • Attend and participate in meetings and events, transcribing and preparing minutes or summaries as required.
  • Collect resident documents for certification and recertification paperwork processing.
  • Accumulate, maintain, verify, and report data, statistics, and research.
  • Assist with rent collection and execution of monthly certification process for residents.
  • Compose, prepare, monitor, and respond to correspondence.
  • Direct and assist residents, families, business invitees, and staff.
  • Schedule and maintain appointments and calendars.
  • Create and maintain a filing system.
  • Respond to inquiries and provide information regarding the Village.
  • Schedule and conduct Village tours.
  • Establish and maintain resident (and prospect) records, including filing, revising, and updating records, charts, etc., gathering required data and documentation, and data input.
  • Assist with information gathering, including scheduling and conducting admission interviews with potential residents and families.
  • Evaluate the need for and/or requisition adequate supplies, equipment, and follow-up on assurance issues.
  • Evaluate the need for and/or request maintenance work orders.
  • Coordinate special events.
  • Create newsletters, flyers, and other documents utilizing various software programs and desktop publishing.
Requirements
  • High School Diploma or General Education Diploma (GED).
  • Able to follow oral and written instructions, generally commensurate with some college-level education or equivalent experience.
  • Computer literate, with proficiency in word processing, spreadsheets, and desktop publishing.
  • Trained as a Certified Occupancy Specialist at HUD or MSHDA villages.
  • Affordable housing property management software knowledge, if working at a HUD or MSHDA-governed village.
  • Math aptitude, generally commensurate with some college-level education or equivalent experience.
Preferred Qualifications
  • One to three years related professional business office experience or equivalent combination of educational experience.
  • Experience working with one of the following subsidized programs: tax credit/MSHDA, low income, & HUD.

We offer competitive compensation, including $45,000 - $55,000 per year, depending on experience.
