Position Summary

The Office Administration Manager oversees the operations of the business office, including the front desk, telecommunication systems, community documentation, and records management. This role also provides essential leadership support to the Community in the absence of the Executive Director.

Key Responsibilities:
  • Ensure precise management of all Accounts Receivable, including collections, payroll, and petty cash, while assisting with corporate accounting tasks under the Executive Director's guidance.
  • Maintain up-to-date resident business files and lease agreements, along with community census data and Medicaid reimbursement records, as applicable.
  • Uphold confidentiality regarding sensitive information related to the Community, employees, and residents.
  • Gather and manage all necessary employee documentation and maintain employee files.
  • Coordinate and oversee the employee benefits program, ensuring that all staff receive orientation and ongoing training.
  • Supervise front desk personnel and other administrative support staff. In smaller settings, provide coverage for the reception desk as needed, and ensure quality assurance in telephone training.
  • Act as Manager on Duty during the Executive Director's absence.
Qualifications:
  • Minimum of 2 years of experience in office management, bookkeeping, or a related field is required.
  • Experience in Accounts Payable, Accounts Receivable, and Payroll is essential.
  • Must be self-driven, organized, and professional, with a polished demeanor and strong public relations, communication, and clerical skills.
  • Demonstrated administrative management and supervisory capabilities are necessary.
  • Ability to manage multiple tasks and priorities effectively, with excellent time management and organizational skills.
  • Strong verbal and written communication abilities.
  • Capacity to collaborate effectively with personnel at various levels.
  • Ability to connect well with residents and their families.
  • A minimum of an associate degree or equivalent experience is preferred, with coursework in Business, Accounting, or Office Management being advantageous.
