Position Summary

The Office Administration Manager oversees the business operations of the community, including the front desk, telephone communications, and management of community records. This role also provides essential leadership in the absence of the Executive Director.

Key Responsibilities:
  • Ensure accurate management of all financial records, including Accounts Receivable, payroll, and petty cash, while assisting with corporate accounting tasks under the Executive Director's guidance.
  • Maintain up-to-date resident files and leases, along with community census data and Medicaid reimbursement documentation, if necessary.
  • Uphold confidentiality regarding sensitive information related to the community, staff, and residents.
  • Collect and manage all required employee documentation and maintain employee files.
  • Coordinate employee benefits programs and track training to guarantee all staff receive orientation and ongoing development.
  • Supervise front desk personnel and other administrative support staff, providing coverage as needed. Oversee telephone training and ensure quality assurance.
  • Act as Manager on Duty during the Executive Director's absence.
Qualifications:
  • Minimum of 2 years' experience in office management, bookkeeping, or a similar role is required.
  • Experience in Accounts Payable, Accounts Receivable, and Payroll is essential.
  • Self-motivated, organized, and professional demeanor with strong public relations and communication skills.
  • Proven administrative management and supervisory capabilities.
  • Ability to manage multiple tasks and priorities effectively, demonstrating excellent time management and organizational skills.
  • Strong verbal and written communication abilities.
  • Capability to work collaboratively with various levels of personnel.
  • Ability to connect well with residents and their families.
  • Minimum of an associate degree or equivalent experience; coursework in Business, Accounting, or Office Management is preferred.
