Job Title: Order Management Coordinator

PDQ Staffing is seeking an experienced Order Management Coordinator to join our team at Graland Health and Beauty manufacturing company. The ideal candidate will have a background in Professional Customer Service, sales, reporting, and business analytics.

Key Responsibilities:
  1. Function as a subject matter expert in customer order management and fulfillment responsibilities, including order planning and import/export shipments.
  2. Ensure that Monthly Master Orders for each country or market are collected, reviewed, approved, generated, and processed properly.
  3. Review orders to generate order acknowledgements back to the countries.
  4. Use data from IFS and FLPI to compare order quantities to actual sales history, forecasts, and on-hand inventory to ensure order accuracy.
  5. Collaborate with the demand analyst and country manager to ensure forecasted demand looks correct and order accuracy is improving.
  6. Provide planning information to Supply Chain to close the gap between order entry and the production schedule.
  7. Facilitate regular review calls with regional Directors of Operations and Home Office Representatives to discuss open order status and recommend necessary changes.
  8. Allocate product for shipment, build containers in the system, provide shipping instructions to the shipping department, and generate pick lists for the warehouse.
  9. Generate and compile all shipping and export documentation. Maintain current revision of export documents work instructions.
  10. Continually formulate, develop, implement, and evaluate export processes to maintain compliance and efficiency. Identify potential export compliance risks and notify OMF Manager of those risks.
  11. Process special circumstances shipments as needed, including US Distribution Centers, Dot Com requests, Rally events, and priority air shipments.
  12. Track shipments from AVOA to destination.
  13. Communicate regularly with markets and countries to develop projections and advise new product availability.
  14. Manage product life cycle and recommend changes to the Sales Part Cross-Reference.
  15. Serve as liaison for Regulatory communications to and from the countries as needed.
  16. Comply with departmental SOPs and company policies and procedures.
  17. Prepare all required documents using Word, Excel, and e-mail.
  18. Prepare all documents for foreign countries in English and save to required drive locations.
  19. Maintain and update country table.
  20. Attend requested meetings and conference calls as necessary.
  21. Work efficiently to meet all deadlines and respond timely to all requests.
