Key Responsibilities:
1. **Telephone Management:** Act as the primary contact for department calls, demonstrating excellent communication skills.
2. **Project Oversight:** Regularly monitor the SharePoint project request list and assign tasks within the department.
3. **Market Analysis:** Conduct competitive research as directed to support strategic marketing initiatives.
4. **Chamber Relations:** Serve as the main liaison for regional Chambers, managing memberships and marketing opportunities.
5. **Community Engagement:** Collaborate with the Marketing Specialist to manage community sponsorships and event participation.
6. **Print Order Tracking:** Utilize SmartSheet to track print orders for various departments.
7. **Survey Coordination:** Oversee the creation and reporting of surveys using online platforms.
8. **Event Promotion:** Work with the marketing team to promote events effectively to the public.
9. **Health Observance Planning:** Prepare and coordinate monthly health observances, collaborating with departments for promotional opportunities.
10. **Administrative Support:** Handle requisitions, purchase orders, and other administrative tasks as needed.
11. **Content Review:** Assist in proofreading marketing materials created by team members.
12. **Invoice Management:** Provide scanned invoices to Accounts Payable as required.
13. **Logo Requests:** Process requests for standard logo items through the project list.
14. **Website Updates:** Assist with maintaining website content, with training provided on the proprietary platform.
15. **Social Media Oversight:** Monitor social media interactions related to the organization.
16. **Professional Development:** Pursue annual growth goals using available resources.
17. **Emergency Preparedness:** Familiarize with the emergency management plan and departmental codes.
18. **Additional Duties:** Perform other administrative tasks as assigned.
Qualifications:
Required Education: Associates degree or progress towards a relevant degree.
Preferred Education: Bachelor's degree in a related field.
Required Experience: Proficiency in Microsoft Office and strong written and verbal communication skills. Organizational skills and the ability to work independently are essential.
Preferred Experience: Familiarity with SmartSheet and back-end website management is advantageous.
Work Environment:
The role is based in an office setting, collaborating closely with other team members.
Schedule:
Standard hours are Monday to Friday, with occasional evenings or weekends for events.
